POLICIES, TERMS & CONDITIONS

CANCELLATION POLICY

Cancellation requests received before June 15 will receive a full refund, minus a $25 administration fee per child per week being canceled.

Cancellation requests received after June 15 and up to one day before the registered week will receive 50% of the program cost, minus a $25 administration fee per child per week being canceled.

No refunds will be issued after the program has started. Refunds will not be granted due to inclement weather.

Requests for refunds must be made in writing to the Camp Director.

Approved refunds will be processed within 30 days after September 1.

Transfers to alternate sessions within the same camp season are subject to availability.

BEHAVIOUR POLICY

Humberwood Academy Summer Camp is committed to maintaining a safe, respectful, and positive environment for all campers and staff. Inappropriate behavior will not be tolerated.

Parents/guardians must review the camp’s behavior policy with their child before camp begins.

Campers removed from camp due to behavior issues will not receive a refund.

To ensure a safe environment, the camp enforces a Three-Step Policy, which will be explained to all campers on the first day.

THREE-STEP BEHAVIOUR POLICY

Step 1: Verbal Warning

A counselor will speak privately with the camper to address their behavior and explain why it is unacceptable. A discussion will follow to help the camper understand how to make better choices.

Examples: Disrupting activities, inappropriate language, minor rule-breaking.

This step may be skipped based on the severity of the behavior.

Step 2: Time Out & Parent Notification

The camper will be asked to sit out from an activity. An incident report will be completed, and the parent/guardian will be informed. A meeting with the parent/guardian may be required to prevent future incidents.

Examples: Intentional safety risks, bullying, offensive language, property damage.

This step may be skipped based on the severity of the behavior.

Step 3: Removal from Camp

The camper will be removed from the situation, and the parent/guardian must pick them up within one hour. The camper will be supervised until pick-up. Depending on the severity of the behavior, removal may be for the remainder of the day or week.

Examples: Physical aggression, theft, continuous harmful behavior, or any major safety risk to self or others.

The camp reserves the right to make the final decision regarding camper removal to ensure the safety and well-being of all participants.

SPECIAL NEEDS POLICY

Humberwood Academy Summer Camp strives to provide a safe, inclusive, and supportive environment for all campers. However, due to the nature of some activities, the camp may not be suitable for all types of special needs.

IMPORTANT CONSIDERATIONS

Parents/guardians must disclose any medical, behavioral, or learning needs in the registration form.

Failure to disclose relevant information may result in:

  • The camper is not receiving proper support

  • Disruptions to the camper’s experience or that of others.

  • In extreme cases, a request for early pick-up or removal from the program.

SUPPORT OPTIONS

Campers who require additional supervision may need one-on-one support. The following options are available:

1. Family-Provided Support – A caregiver may attend camp with the child.

2. Community Partner Support – An external agency may provide an inclusion worker.

3. Camp-Provided Support – Limited availability, extra fee applies.

REGISTRATIONS

Registrations will only be confirmed once the required camp fees per child have been paid in full. Your child(ren) will not be permitted to start camp unless all fees are paid before the start of their session. Humberwood Academy Summer Camp reserves the right to refuse any registration for any reason and will, in such cases, refund the full amount paid.


PERSONAL BELONGINGS

Humberwood Academy Summer Camp is not responsible for lost, damaged, or stolen belongings. We encourage campers to leave valuable items at home.


PHOTO/VIDEO RELEASE

As the parent/guardian, I hereby consent to the use of my child(ren)’s photos and videos for publicity, promotional, and marketing purposes by Humberwood Academy.

EMAIL COMMUNICATION

By registering my child(ren), I agree to receive informational and promotional emails from Humberwood Academy. I understand that I can unsubscribe at any time and request the removal of my information from the camp’s database.

LATE PICK-UP FEES

Regular camp hours end at 4:00 PM. A late pick-up fee of $10.00 plus $1.00 per additional minute will apply for any pick-ups after the program ends. Late pick-up fees must be paid in cash to the staff present at the time of pick-up.

PICK-UP POLICY

Only individuals listed on the registration form will be allowed to pick up a camper. Camp staff may request government-issued ID to confirm identity before releasing a child.

Humberwood Academy Summer Camp collects personal information to provide the best possible care for campers. This information is used to communicate updates, ensure camper safety, and provide statements of account upon request.

Use, Disclosure, and Retention of Information

We only use and disclose personal information for identified purposes unless required by law. Access to this information is limited to staff members whose roles require it. We do not sell, lease, or share personal information. All data is retained for the necessary period and securely destroyed when no longer needed.

Keeping Information Accurate

We rely on families to update us on any changes, such as address, phone number, or medical conditions. Please inform our office of any updates as soon as possible.

Cookies and Third-Party Tracking

Our website may use cookies to improve user experience and marketing efforts. These may be linked with personally identifiable data stored on our servers.

Your Right to Access Personal Information

You have the right to access the personal information we have on file. A written request to the Camp Director will provide details on how your information is used and disclosed.

Policy Changes

We reserve the right to update this policy at any time without prior notice.


WAIVER AND RELEASE OF LIABILITY

In consideration of my child’s participation in Humberwood Academy Summer Camp (hereinafter referred to as "the Camp"), I, the undersigned parent or legal guardian, agree to the following:

1. Assumption of Risk

I acknowledge that participation in the Camp involves certain inherent risks, including but not limited to:

Physical activities such as sports, games, and outdoor exploration, which may result in injury.

Exposure to environmental conditions such as heat, cold, insects, and other natural elements.

Off-site trips to locations such as parks, splash pads, nature reserves, and other recreational areas.

The risk of exposure to communicable diseases, including but not limited to COVID-19, influenza, and other illnesses.


I voluntarily assume all such risks associated with my child’s participation in the Camp.

2. Waiver and Release of Claims

I, on behalf of myself, my child, and our heirs, executors, and assigns, hereby:

Waive any and all claims against Humberwood Academy, its owners, directors, officers, employees, volunteers, affiliates, and any partnering organizations (collectively referred to as "the Camp Parties") for any injury, loss, or damage arising from my child’s participation in Camp activities.

Release and hold harmless the Camp Parties from any liability, including property damage, personal injury, or illness, whether caused by negligence or otherwise.

Agree to indemnify the Camp Parties against any claims, losses, or expenses incurred as a result of my child’s actions at Camp.
